New channel: Email inside WeSpeak

Email is still one of the key channels for corporate bookings, agencies, and groups. Now it lands in the same inbox as your chats, so no quote gets lost because it's sitting in a separate mailbox.

For most hotels, email is still the formal channel par excellence: it's where corporate bookings, agency requests, group and event contracts, and inquiries that need to be on record come in. It's not the fastest channel, but it's often the one that drives the highest-value bookings.

The problem is that, in most operations, that email lives apart from everything else: mixed in with spam and newsletters, scattered across personal inboxes, with no history visible to the whole reservations team.

  • No shared history.
  • No way to track what was answered and when.
  • None of the speed the hotel has already achieved on WhatsApp or Instagram.

That gap is what led us to add the Email channel to WeSpeak.

The challenge isn't receiving email. It's managing it.

It's common for a sales team to reply within minutes on WhatsApp but leave a corporate quote request sent by email waiting for hours or days, simply because no one saw it in time or because it ended up in one person's inbox. And it's precisely those inquiries — from agencies, companies, and groups — that tend to carry the highest ticket value.

What changes with the Email channel in WeSpeak

With the integration active, emails from your mailbox (Gmail, Outlook, or another provider) arrive in the same inbox where you already manage WhatsApp, Instagram, and Facebook.

In practice:

  • The reservations team sees and replies to email just like a chat, without leaving WeSpeak.
  • Every exchange is organized in a thread per contact, with the full history and without depending on a single person.
  • You can quote prices and real availability right in the body of the email, just like in a chat.
  • Email templates and AI writing assistance help you reply faster, without losing the formal tone a corporate account demands.

Email stops being an isolated channel and becomes part of the same operation where the rest of the hotel's conversations are already managed.

Who benefits most from this channel

  • Hotels that receive requests from agencies, companies, or groups by email.
  • Operations with more than one mailbox (for example, reservations@ and frontdesk@), thanks to Multichannel.
  • Teams that want to centralize all guest support — chat and email — in one place.
  • Hotels that currently lose time, and opportunities, answering corporate quote requests outside the platform where they manage the rest of their bookings.
