How it's calculated
- Meta charges for every message that goes out of your WhatsApp. Messages your guests send you are never charged.
- The price depends on the country of the guest's phone number, not your hotel's country. That's why an average rate is calculated from your country mix.
- Conversations that start from a Meta ad (Click-to-WhatsApp) are free for 72 hours: during that window you don't pay for any of the messages you send.
- For the rest: billable conversations × messages sent per conversation × average service rate. Meta then waives the first 1,000 service messages each month, free per phone number: they do not roll over, so whatever you don't use is lost.
- On top of that, broadcast campaigns (marketing rate) and reminders or notifications (service rate) are added.

Frequently asked questions
How do I know how many enquiries come from my Meta ads?
If you run ads on Meta (Facebook and Instagram) that open a chat — Click to WhatsApp ads — a good share of your enquiries comes in through them. Those conversations are free for 72 hours, so the share they represent moves the step 2 estimate quite a bit.
The exact number is in your WhatsApp Manager insights: the same screen where Meta shows how many messages were sent, which ones were answered and how much you spent.
- Open your WhatsApp Manager insights and sign in with the Meta account that manages your number.
- At the top, pick the WhatsApp Business account and, if you have more than one, the phone number. Then set the date range (last 30 days, for example).
- Look at the breakdown by category: it lists the messages and conversations of each type, which ones weren't charged and what the period cost.
- The ones that started from an ad show up as free entry point conversations. Those are the enquiries your ads brought in.
The step 2 percentage is those conversations divided by the total for the period. Example: 400 from ads out of 1,000 total = 40%.

How do I know how many service messages I send per month?
Service messages are the ones your business sends inside a conversation the guest opened: replies from the assistant and from your team. They are the bulk of the bill and what step 2 estimates. Broadcast campaigns bill at the marketing rate and are counted separately.
The volume comes from the same screen as the previous question, looking at the breakdown by category:
- Open your WhatsApp Manager insights and pick your WhatsApp Business account and phone number.
- Set the date range to a full month, so the number is comparable to the free allowance, which is monthly too.
- In the breakdown by category, look for service: that row has the messages of that category and their cost. Marketing, utility and authentication are counted separately.
- Keep in mind Meta doesn't charge the first 1,000 service messages each month per number, and the ones sent within 72 hours of an ad aren't charged either.
For step 2: divide the month's service messages by the month's conversations. Example: 5,500 messages over 1,000 conversations = 5.5 messages per conversation.
