The list of all your contacts: how to add one by hand, import from Excel, filter, export, and how each contact connects with its chat and the funnel.

Contacts is the complete list of the people your business talks with. Each contact has its conversation (chat) and its record in the funnel; this screen shows them as a table, with tools to create, import, filter, and export.

ℹ️ To add or import contacts you need a connected WhatsApp channel — if there isn't one, those buttons appear disabled.

Add a contact by hand

  1. Click Add contact.
  2. Fill in: Name and Phone (required), and if you want Email, Check-in/Check-out, and Estimated amount.
  3. If you have several numbers connected, choose which one the conversation will be created from.
  4. Decide the "Activate assistant for this contact" toggle (on by default: the assistant will reply to them automatically).
  5. Add — you'll see "Validating number on WhatsApp…": the system checks that the number exists on WhatsApp and creates the contact with its conversation. If it doesn't exist, it warns you with "The number is not valid on WhatsApp" and the contact isn't created.

Import contacts from a spreadsheet

  1. Click Import contacts and upload your Excel or CSV file.
  2. Map the columns of your spreadsheet to WeSpeak's fields: Name and Phone are required; Email, Check-in, Check-out, and Estimated amount, optional. The "Auto-detect" button tries to map them on its own, and a preview shows you how the data looks.
  3. Review the validation: each row ends up as "Ready to import", "Invalid phone number" (doesn't exist on WhatsApp), or "Duplicate contact in the list" — only the valid ones are imported. If the list is long, you can search by name, phone, or email and filter by status (Valid / Invalid / Duplicate).
  4. Before confirming you can assign them all: tags, funnel and stage, and the assistant toggle.
  5. Confirm with Import (N).

Export

The Download button generates an Excel with your contacts, respecting the active filters. The columns: Name, Phone, Email, Channel, Country, Status (funnel stage), Check-in, Check-out, First follow-up, Second follow-up, Estimated amount, Currency, Last update, and one column per tag.

ℹ️ The follow-up columns show the date and time of the automatic follow-up messages each contact received — useful for auditing which leads have already been re-contacted.

💡 Inside the Funnel there's another Download button that exports an Excel with one sheet per stage (Interested, Close to booking, Confirmed, Lost…).

How everything connects

  • Each contact has its conversation: the Go to chat button opens it.
  • Its stage in the funnel, tags, dates, and estimated amount are seen both here and in the funnel record.
  • The filters are the same as in Chats and Funnel: channel, tags, stage, customer status, country, assigned agent, dates, and more.

Frequently asked questions

I imported my spreadsheet and some contacts didn't get in.
Check the validation screen: those marked as invalid number (doesn't exist on WhatsApp) or duplicate aren't imported.

Can I create a contact without the assistant talking to them?
Yes — turn off the "Activate assistant for this contact" toggle when creating or importing them.

Do Instagram/Facebook contacts appear here?
Yes: all contacts with a conversation appear in the list, with their channel indicated.

Can I prevent people from certain countries from writing to me?
Yes — in Assistant Settings there's the Country filter section, with three modes: All (replies to any country, the default mode), Block (doesn't reply to the countries you select), and Only allow (replies only to the selected ones). The country is detected by the contact's phone prefix and filtered conversations close automatically, with no reply from the assistant.

How do I delete a contact?
Today there's no button to delete contacts from the panel. If you need to remove one from the view, archive its conversation; if you need to truly delete it (for example, due to a privacy request), request it from your advisor.

I'm coming from using WhatsApp Business on the phone, how do I migrate my contacts?
Before leaving the app, export your contacts to a spreadsheet (Excel/CSV) — for example from the phone's contacts with Google Contacts. Then use Import contacts here: you map the columns and they all come in with their conversation ready.
