Manage your business's email from WeSpeak: how to connect your inbox (Gmail, Outlook or another provider), and what you can do with email threads.

With the Email channel (in beta), your business's mail arrives in the same inbox as your chats: you see the threads for each contact, reply with a full editor, and everything stays in the history.

How to connect it

  1. Go to Channels and, on the Email card, click Connect. The Email Channel page opens with the connection guide.
  2. Click the Connect Email button: it redirects you to your email provider's authentication page (Gmail, Outlook or others).
  3. Authorize access: log in with your email account and authorize WeSpeak to access your emails.
  4. You'll see the message "Authentication successful!" and return to WeSpeak with the channel connected and ready to use.

ℹ️ If an error appears during the authorization step (for example, "Authorization code not received"), go back to Channels and try the connection again from the start — it usually resolves by repeating the full flow without closing your provider's window.

How threads look

  • Each contact has their list of threads: when you open it you see all the emails exchanged with that person, and you enter whichever thread you need.
  • When you open a thread, the messages are marked as read automatically.
  • Attachments are shown within the thread itself, without leaving WeSpeak.
  • The quoted history that repeats at the end of each email ("On X, you wrote…") is trimmed automatically for clean reading; the original content isn't lost.

Multiple inboxes (Multichannel)

With the Multichannel feature you can connect more than one email inbox in the same account (for example, reservations@ and reception@):

  • Each inbox is connected by repeating the Connect flow in Channels.
  • You can give each one a name with the pencil (Edit channel name) to tell them apart in filters and lists.
  • When replying to a thread, the reply always goes out from the inbox the customer wrote to.
  • When composing a new email (with no prior conversation), the first connected inbox is used.

Things to keep in mind

  • The channel is in beta.
  • One inbox is connected per account (several, if you have Multichannel enabled).
  • The automatic assistant operates over the chat channels; email is designed for management by your team.

Frequently asked questions

Does any email provider work?
The main ones (Gmail, Outlook) and other compatible providers — the connection assistant guides you with yours.

Do emails get mixed in with the chats?
They share the inbox, but each email conversation opens in its thread view, separate from chat messages.

Can I connect more than one inbox?
Yes, with Multichannel: each inbox is connected separately and you can name them to tell them apart. If you're interested, check with support to enable it on your account.

I have two inboxes, which one do my replies go out from?
When replying to a thread, always from the inbox the customer wrote to. A new email with no prior conversation goes out from the first connected inbox.

Can I quote prices inside an email?
Yes: the quoter has a Load into the email button, which inserts the quote directly into the body of the email you're writing.
